2. The information we collect

Referral information. When a Local Authority, agency or other professional makes a referral, we receive information about the person being referred. This can include name, date of birth, contact details, National Insurance number, nationality and immigration status, current housing situation, benefit status, support needs, health information, risk information (including offending history where relevant), details of agencies involved, and the referrer's own contact details. Some of this is special category data (for example health information) and criminal offence data.

Tenancy and support records. For people who live in our accommodation, we hold tenancy or licence documentation, support plans, records of support provided, safeguarding records and related correspondence.

Enquiry information. When you use our contact form, email or call us — as a referrer, landlord or general enquirer — we hold your name, contact details and the content of your enquiry.

Website usage information. With your consent, we use Google Analytics to understand how the website is used (see our Cookie Policy). This involves pseudonymised identifiers, not your name.

3. Why we process it, and our legal bases

  • Assessing and responding to referrals, and providing housing and support — necessary for our legitimate interests in operating a housing and support service and for the performance of agreements with commissioning bodies; for special category data, processing is necessary for the provision of social care (UK GDPR Article 9(2)(h)) and/or reasons of substantial public interest (safeguarding), with criminal offence data processed under the safeguarding and social care conditions of the Data Protection Act 2018. Referrals are made with the knowledge and consent of the person being referred, confirmed by the referrer's declaration.
  • Responding to enquiries — our legitimate interest in responding to people who contact us.
  • Safeguarding — substantial public interest; we may process and share information without consent where necessary to protect someone from harm.
  • Website analytics — your consent, given via the cookie banner and withdrawable at any time.
  • Legal obligations — where processing is required by law or regulation (for example housing, safety and safeguarding requirements).

4. Who we share information with

We share personal data only where necessary to deliver our services or where the law requires it:

  • Local Authorities and commissioning bodies (including for placements, reviews and safeguarding)
  • Our Registered Provider partners, where accommodation is delivered in partnership
  • Health services, support agencies and other professionals involved in a person's support
  • Safeguarding bodies and, where required, the police or courts
  • Service providers who process data on our behalf: our website and database are hosted with Cloudflare and Supabase (data stored in the EU), and transactional email is delivered via Resend. These providers act under contract as processors and cannot use the data for their own purposes.

We never sell personal data, and we do not use it for marketing.

5. How long we keep information

  • Referral information that does not lead to a placement: deleted within 12 months of the decision.
  • Tenancy and support records: for the duration of the placement plus 6 years, in line with contractual and legal requirements.
  • General enquiries: up to 12 months.
  • Safeguarding records: retained in line with statutory guidance and Local Authority requirements.

6. How we protect it

Personal data is held on access-controlled systems, with sensitive referral data stored in a secured database with role-based access. Staff access is limited to what their role requires. Our safeguarding, data protection and information-handling practice is governed by our group policy suite.

7. Your rights

Under UK GDPR you have the right to: access the personal data we hold about you; have inaccurate data corrected; ask us to delete data; restrict or object to processing; data portability; and withdraw consent where processing is based on consent. To exercise any of these, contact info@connected-futures.co.uk. We will respond within one month.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or 0303 123 1113.

We may update this policy from time to time. The latest version will always be published on this page with the date above.
